"Move to folder" rules cause duplicate messages, but only when...

A co-worker has been dealing with an odd Outlook problem. She has created a very basic client-side rule:

  • If Sender is [My Boss],
  • Move message to [Boss Folder] and Stop Processing more rules.

When she is the sole recipient everything works as expected. However, all messages sent to multiple recipients are duplicated, and she ends up with 3 or 4 copies.



We confirmed the following:

  1. The message was sent only once and it lists her as a recipient only once.
  2. The message is not being sent to a distribution list.
  3. No other rules exist.
  4. No account aliases exist, and the Exchange server is the only configured account.
  5. The problem only occurs when [Boss Folder] is a sub-folder of [Inbox].

The obvious workaround was to create the destination folder outside of the Inbox folder - but we cannot think of a valid reason that this would matter. Any thoughts?

What version and service pack of Outlook?

Hi TurnipTruckDriver,

Is this the rule on top of all other rules that she has.

When multiple move rules could apply to a single message, the message will be moved out of the Inbox multiple times, creating a copy in each folder specified in each rule that applies to that message.

Stop processing more rules and prevent duplicate messages

There is also a possibilty that her Mailbox has corrupted hidden rules, which is causing this issue.

Refer to the below guide to backup and reset the rules container using Outlook or MFCMAPI.

Using Outlook:

Hi,

If there is any other Inbox rules, please make sure the Stop processing action on each rule.

Please backup the Inbox rules and clear all rules from Outlook. Create a new profile for this account and recreate the Inbox rule to have a try.

If the issue persists with the new created profile, please restart Outlook in safe mode to narrow down the issue.
